• Architectural Modifications:
Provide forms and procedures to owners who wish to
modification requiring prior Board of Directors’ approval.

Amendments: Assist Board of Directors and Legal Counsel into amending the Governing
documents of the Association and implementing any new regulations thereafter.

Annual Meetings: Assist Legal Counsel in preparation of the Association’s Annual Meeting as
per Governing Documents.
• Bidding of Contracts: Provide bidding services to the Association as per work specification.
• Building Enforcement Violations: Receive and act upon any Building Enforcement Violations assessed to the community.
• Fire Department Violations: Receive and act upon any violation assessed to the community.
• Inspections of Property: Make regular, planned and unplanned visits to the property according to the Management Agreement.
• Insurance: Assist the Board of Directors and/or their Insurance Committee with their annual insurance bidding.
• Maintenance Personnel: Provide guidance, management and supervision to all Association employees according to the mutually agreed upon guidelines.
• Management Personnel: Provide roving and onsite State Licensed Association Managers and secretarial services.
• Mass Mailings: Prepare and send to each owner community updates and/or documents affecting the Community.
• Notary Services: Offer at no additional charge notary services to our Associations.

accounting
• Accounts Payable: Record invoices and prepare checks from appropriate account item and deliver to Board of Directors.
• Accounts Receivable: Bill, collect and deposit maintenance assessments and other charges.
• Budgets: Prepare preliminary budgets for the Board of Directors’ review and coordinate the Budget Meeting as per Governing Documents.
• Delinquent Accounts: Provide monthly delinquent report to Board of Directors.
• Demand Letters: Mail demand letters to owners past due on their accounts on a monthly basis.
• Financial Statements: Prepare monthly/quarterly financial statements including Balance Sheet, Income/Expense Statement, General Ledger Detail, Trial Balance, Accounts Receivable Report and Aged Report.
• Income Taxes: Professional Management will provide to and coordinate with the Association’s CPA in the filing of the Association’s State and Federal income taxes.
• Liens: Provide to the Association’s Attorney documentation to ensure proper filing of liens, monitor on a monthly basis accounts held by legal counsel. All delinquent accounts are flagged in order to ensure that the legal process is uninterrupted.
• Reserve Transfers: Make monthly transfer into Reserve Account.
• Special Assessments: Coordinate, bill, collect, monitor and account properly any Special Assessments that the Association may have throughout the year.
• Year- End Financial Statements: Facilitate to the Association’s independent CPA documents a personnel to complete the required type of financial statement.

maintenance
• Management will oversee sub-contractor work being performed in the community to ensure the scope of work is being met as specified.
• Association Manager will make visits to the community as per agreement. Additional site visits will be provided as necessary.
• Assist in developing specifications on special projects for bidding by outside contractors.
• Follow up on Fire Safety Annual Inspections and maintenance of the same.
• Supervise all Association employees and contractors within the limits of the management agreement.
